AI receptionist vs call answering service vs voicemail: which is right for your business?
Last updated:
Voicemail is free, but most callers won't use it. In a YouGov survey of 2,046 UK adults in June 2026, only 6% said they'd leave a voicemail rather than wait, and 37% said they'd give up within a minute and contact a competitor instead. A call answering service puts a real person on the line, for about £55 to £75 a month for 30 calls. An AI receptionist answers every call, day and night, and can book the job there and then, from about £30 a month for a self-serve app, or £99 to £500 a month done for you.
How do they compare?
| Voicemail | Call answering service (virtual receptionist) | AI receptionist | |
|---|---|---|---|
| Who answers | Nobody. The caller can leave a message | A trained person at an answering company | An AI assistant trained on your business |
| Hours | Any time, but only takes messages | Depends on the plan. Check whether evenings and weekends are included | 24 hours a day, 7 days a week |
| Several calls at once | No | Yes, from a team | Yes |
| Books appointments | No | Some can, using your online diary. Many take a message | Yes, straight into your calendar, with a text confirmation |
| What you get afterwards | A recording, if they left one | A message by email or text | The caller's details and a summary straight away, and the booking if one was made |
| Your time | Listening to messages and ringing people back | Reading messages and ringing people back | Checking the bookings and summaries it sends you. With a done-for-you service, setup and updates are handled for you |
| Typical cost | Usually included with your phone line | About £55 to £75 a month for 30 calls, £154 to £230 for 100, then about £2 to £3 a call | About £30 to £99 a month self-serve; £500 to £2,000 or more setup and £99 to £500 a month done for you |
| As calls grow | Same cost, more missed work | Cost rises with every call | Usually a monthly allowance of calls or minutes, then a small charge per minute |
| Best for | Very few calls, mostly from existing customers | Calls that need a person's judgement every time | Busy lines, out-of-hours calls and bookings |
What are the alternatives to a call answering service?
- An AI receptionist: answers every call 24/7, takes details and books appointments, for a fixed monthly fee. Best when most calls are enquiries and bookings.
- Voicemail with missed-call text-back: when you miss a call, the caller gets a text straight away with a link to book or reply. A low-cost step up from voicemail alone.
- Forwarding calls to a mobile or a colleague: free, but someone still has to stop what they're doing to answer.
- Hiring a receptionist: a full-time receptionist costs about £21,400 to £28,600 a year including pension and National Insurance, and covers working hours only. Read our AI receptionist cost guide
- A mix: many businesses let an AI answer out of hours and when the line is busy, and put urgent calls through to a person.
AI receptionist or virtual receptionist: which is better for a small UK business?
A virtual receptionist is a real person at an answering company who takes your calls remotely. An AI receptionist is software that answers in a natural voice. Choose an AI receptionist if most calls are new enquiries, bookings and the same questions, if you get calls in the evening and at weekends, or if you also want WhatsApp and website chat answered. It costs the same each month however many people ring, within its allowance. Choose a virtual receptionist if every call needs a person's judgement or a human touch, for example sensitive legal or medical conversations. Some businesses use both: AI first, with urgent calls passed to a person.
Is an AI receptionist better than voicemail for a tradesperson?
For most tradespeople, yes. When you're up a ladder, under a sink or driving, voicemail loses you work: new customers rarely leave a message, they ring the next number on the list. An AI receptionist answers in a natural voice, asks what the job is and where, books a quote visit into your calendar, texts the customer a confirmation, and sends you the details. Urgent jobs, like a leak, can come straight through to your mobile. Voicemail is still fine if you only get a few calls a week, mostly from regular customers who know you'll ring back.
Can I use an AI receptionist alongside a person?
Yes, and it's common. The AI answers out of hours, at lunchtime and when the line is busy. It puts urgent calls through to you or your team, and books everything else into the diary. You keep the personal touch for the calls that need it.
